Your Vision, Our Meticulous Touch: Bespoke Private Celebrations Done Properly

Bespoke private celebration planning means we design the event around you, your guests and your budget. We do not fit you into a fixed format. At Wayside Events, that covers the décor, the setup, the menu conversation and the coordination on the day. You get to be a guest at your own party.

We have planned and styled celebrations since 2015, for milestone birthdays, baby showers, graduations and anniversaries across Gauteng. Below is how the work runs, what moves the cost, and what we need from you to get it right.

What does bespoke private celebration planning include?

It includes unique designs, personalised details and a more exclusive event setup, all built around the person or occasion being celebrated. That is how our Bespoke package differs from the other two. Essential suits clients who want simple, elegant décor and essential styling. Signature adds enhanced décor, coordinated styling and extra decorative elements. Bespoke starts from your idea instead of from a menu of options. You can read more about all three on our packages page.

In practice, bespoke event styling shows up in small decisions. It might be a colour palette drawn from the guest of honour’s favourite place. It might be a table layout that suits a multi-generational family, or a menu that reflects how your family really eats. Guests may not spot each choice, but they feel the sum of them.

None of the packages is a lesser choice. Plenty of good celebrations run on Essential. Bespoke is for when you want the event to look and feel like nobody else’s.

How does a celebration come together from first message to the day?

It comes together in a set order, and the order matters because each step feeds the next. Picture a 40th birthday for around 60 guests, enquired about roughly three weeks out. This is an illustration, not a particular client. Here is how we would run it.

  1. You send us an enquiry with the event type, date and estimated guests.
  2. We talk through your preferences, theme and budget.
  3. We prepare a personalised quote.
  4. We confirm the venue, or help you find one, and line up any outside suppliers.
  5. We settle the décor, the setup and the menu, including any dietary needs.
  6. We set up, coordinate on the day and hand the evening back to you.

Enquiry, budget and quote

The enquiry comes first because guest numbers and date decide almost everything else, from the venue to the amount of décor. The budget conversation comes before the quote, not after. That way the design never runs ahead of what you want to spend. We would rather tell you early that an idea needs trimming than surprise you later.

Venue, suppliers and menu

Venue and suppliers come before the final styling because a venue sets limits on layout, access and what you can hang or place. Menu details come late in the process, but not last. Allergies and dietary needs must reach the caterer in good time. They cost very little to handle early and a great deal to handle on the day.

The day itself

On the day, we set up, run the coordination and keep the evening moving. You greet guests instead of chasing a florist or a delivery. That is the point of the whole sequence: every decision that could go wrong at 5pm gets made weeks earlier.

Which private celebrations suit this kind of planning?

Almost any occasion that matters to you suits it. Our private clients most often plan milestone birthdays, baby showers, graduations and anniversaries. Each has its own mood. A graduation needs room for family groups and photographs. A milestone birthday often wants a single standout feature. Custom birthday party planning usually starts there, with the one thing the guest of honour will remember.

A baby shower leans on soft styling and a relaxed flow. Custom baby shower planning is mostly about pace and comfort, so guests can mingle without a rigid programme. Tailored private events of every kind follow the same rule: we ask what the day should feel like before we ask what it should cost.

Size is rarely a barrier. We handle intimate gatherings of roughly 20 to 50 guests, medium events of 50 to 150, and larger celebrations of 150 and above. What we deliver depends on the services you choose and the venue arrangements. A 30-guest dinner can be just as personal as a 200-guest party, and it often gets more attention per guest.

How much does a bespoke celebration cost?

It depends on the type of event, your guest numbers, your décor requirements, the venue and the services you select. We do not publish fixed prices. Personalised event planning is priced to the event, and two parties with the same guest count can differ widely. One might add a full styled setup while the other keeps things simple. We give you a personalised quotation based on your vision and your budget.

What moves the price

Guest numbers and décor requirements usually move the total most. The venue comes next, because it decides how much we need to bring in. Each extra service you add, such as coordination on the day or help with outside suppliers, shapes the quote too. Tell us which of these matter most, and we can put the budget where you will notice it.

What to ask when you compare quotes

Look past the total, whether the quote comes from us or anyone else. Ask what it actually covers: styling only, or styling plus coordination on the day? Does it include catering, or does the caterer bill you separately? Who handles setup and who handles pack-down? A cheaper quote that leaves you coordinating five suppliers is rarely cheaper in the end.

Tell us three things early: your guest count, your budget and the one detail that matters most to you. We can shape everything else around those.

Ready for a number? Send us your enquiry with your date, guest count and budget, and we will prepare your quotation.

How early should you book?

We recommend booking two to four weeks ahead for most private celebrations. That gives us time to plan, prepare and secure the décor and services you want. For large events, such as weddings and matric dances, book one to three months out.

Last-minute requests may still work, depending on our availability. If your date is close, send the enquiry today and put the date in your first message. The earlier we know, the more room you have to choose.

What about food, allergies and dietary needs?

If catering is part of your event, tell us about every dietary need and allergy as early as you can. We then discuss suitable options with the catering provider. The caterer’s capabilities and availability decide what is possible. Early notice gives everyone room to find a good solution.

To be straight about it, we do not specialise in one type of cuisine at this stage. Our focus is styling, planning and detail. We discuss catering on request, based on what your guests need and what services you ask us to arrange. A vegetarian aunt, a nut-allergic child and a guest who avoids pork are all easy to manage when we know in week one. They are hard to manage in the last 48 hours.

Can you help with the venue and other suppliers?

Yes, on request. As a private party planner in Gauteng, we can help you find a venue that fits your theme, guest numbers and budget. Tell us your area, whether that is Johannesburg, Pretoria, Sandton or elsewhere in the province, and what you need the space to do. Please contact us to confirm availability for this service.

The same goes for florists, photographers, caterers, entertainment providers and venue coordinators. We can discuss arrangements with outside suppliers and connect you with suitable ones where possible. We cannot name fixed partners here, so we confirm supplier availability when you enquire. The real benefit is one point of contact. Coordinating several vendors is one of the most draining parts of planning your own event, and we take that off you.

What happens if your plans change?

Tell us as soon as you know. Cancellation fees and deposit refunds depend on when you cancel, which services we have already arranged and what costs we have incurred. Rescheduling is subject to availability.

We share our cancellation and refund terms during the booking process. Read them and agree to them before you confirm. It is a short conversation now that can save a difficult one later.
