Do you really need a wedding planner Johannesburg couples can trust, and how do you choose a good one? You need one if you want to enjoy your own wedding. A good planner takes the phone calls, chases the suppliers and runs the day, so you do not spend it solving problems. Here is what we tell couples who ask us.
Do you need help, or can you plan it yourselves?
Plenty of couples plan their own weddings and do it well. It works when you have time, a small guest list and a clear idea of what you want.
It gets hard when you are juggling a full-time job, several suppliers and a family with opinions. Coordinating vendors and finding the hours are the two things couples tell us wear them down. If either sounds familiar, a planner pays for herself in calm, and sometimes in money too.
What should a planner actually do?
A planner should do more than turn up on the day. Ask for the work in writing, because the scope differs from one planner to the next. Typically it covers:
- Venue research and site visits
- Sourcing and managing suppliers
- A day-of timeline everyone follows
- RSVP management and guest logistics
- On-site coordination and problem-solving
At Wayside Events we also style and cater, so décor, food and coordination sit under one roof. That means one team answers for the whole day.
Which level of planning suits your wedding?
Planners usually offer three levels. Each has a trade-off.
Day-of or month-of coordination
Pros: the cheapest route, and it still means someone else runs the day. Cons: you make the big decisions on your own, and a late problem with a venue or supplier is harder to fix.
Partial planning
Pros: you hand over the parts you dislike and keep the parts you enjoy. Cons: the split needs to be clear from the start, or tasks fall between you.
Full-service planning
Pros: one person holds everything together from first idea to last guest. Cons: it costs the most, and you must trust your planner’s taste.
Our Essential, Signature and Bespoke packages work along similar lines. Essential suits simple, elegant décor and styling. Signature adds enhanced décor and coordinated styling. Bespoke is for unique designs and a more exclusive setup.
How much does a wedding planner cost in Johannesburg?
It depends on the level of service, the planner’s experience, your guest numbers and the complexity of the day. Across South Africa, day-of coordination generally runs R4,000 to R12,000. Full-service planning often costs 10% to 15% of the total wedding budget. The average South African wedding costs upwards of R250,000, so 10% of that is R25,000.
Johannesburg coordinators on one directory range from R900 to R19,000+, which shows how wide the gap is. Compare the scope, not only the price. For more detail, see this breakdown of planner costs and these price comparisons.
We price by event type, guest numbers, décor, venue and the services you choose. Tell us your plans and we prepare a personalised quote, with no obligation.
How far ahead should you book?
For a wedding, book one to three months ahead at the very least. That gives us time to plan, prepare and secure the décor and services you want. Earlier is better, because good dates and suppliers go first.
Our 2 to 4 week window suits smaller events. Last-minute weddings may still be possible, depending on availability, so ask.
Can a planner find your venue and suppliers?
Yes. We assist with venue sourcing on request, matching the venue to your theme, guest numbers and budget. We discuss florists, photographers, caterers, entertainment providers and venue coordinators with you, and connect you with suitable services where possible.
Supplier availability changes, so we confirm specifics when you enquire. We do not promise a name before we know your date.
We handle intimate gatherings of about 20 to 50 guests, medium weddings of 50 to 150 and larger celebrations of 150 or more. Venue arrangements and the services you need shape the final plan. We serve couples across Gauteng, including Sandton, Randburg, Midrand, Fourways, Pretoria, Soweto and the East and West Rand.
What about the food and dietary needs?
Catering is part of what we do, and we shape menus to your guests and budget. We do not specialise in one cuisine, so we build the menu around you.
Tell us about allergies and dietary needs early. We discuss options with the catering provider, though special requests depend on the caterer’s capabilities and availability. Early notice gives everyone room to get it right.
What should you ask before you sign?
- What exactly is included, and what costs extra?
- Who will be on site on the day?
- Can I see photos and client feedback? (Our gallery and testimonials pages show ours.)
- How do you work with venues and outside suppliers?
- What are your cancellation and refund terms?
The last one matters more than couples expect. Our cancellation fees and deposit refunds depend on timing, the services already arranged and costs incurred. We explain the terms during booking, and we recommend you read and agree to them before you confirm. Any planner you hire should do the same.
